The Challenge

Our client recognised the need for more in-depth discussions and exploration of critical issues in order to ensure the ongoing success of their people management. They sought to address this by organizing an Inclusivity and Diversity conference that would foster inclusive spaces and facilitate these important conversations.

The Solution

To meet the client’s objectives, we developed a highly immersive and interactive one-day conference tailored for 400 local staff. The conference focused on key aspects of inclusivity and diversity management as part of their broader people management strategy. Attendees were exposed to a diverse range of perspectives through a combination of local and external speakers, as well as engaging digital and live content.

The conference environment was carefully designed to create a safe space where open and honest conversations could thrive. Delegates were encouraged to take ownership of the solutions applicable to their respective businesses, with various platforms provided to facilitate discussions and collaborative problem-solving.

At the core of our responsibilities was the design of the entire conference experience. We took charge of crafting the event’s creative design and overarching strategy. This included the development of program content, meticulously aligning every detail, from the plenary sessions to the breakaway sessions and workgroup management. Our expertise extended to stage and technical design, ensuring a seamless and captivating experience for attendees. We also handled the design and production of collateral, encompassing both print and digital elements, to create a cohesive and visually appealing event.

Guest and Speaker Management

Managing the presence and needs of guests and speakers was another pivotal aspect of our role. We took care of every detail, ensuring a smooth and welcoming experience for all involved.

Project Management

Full project management encompassed developing project plans, managing budgets, and engaging with stakeholders to ensure that every aspect of the conference aligned with our client’s vision and objectives.

Conference Execution

As we transitioned from planning to execution, our team played a pivotal role in designing the overall conference collateral. This included the development of the event brand and the creation of compelling materials for breakaway sessions, the plenary, and even digital pre-recorded content. We also introduced unique elements like sound baths and interactive engagement opportunities, both in the digital and print realms, to enhance the event’s overall appeal.

Health & Safety

We formulated a comprehensive health and safety plan to ensure the well-being of all attendees and staff throughout the event.

Venue Management

Venue management, including food and beverage arrangements, was seamlessly handled by our team to guarantee a delightful and hassle-free experience for all.

Staffing and RSVP Management
